Quotes or estimates provided by Arrowsmith Arbor & Grounds are based on the information available at the time. Final pricing may change if the scope of work changes, if unexpected conditions are discovered, or if additional work is requested.

A quote is not considered accepted until both the customer and Arrowsmith Arbor & Grounds agree to the work, pricing, and scheduling.

5. Bookings and Scheduling

Service dates and times are subject to availability, weather conditions, property access, and safety considerations.

Outdoor work may need to be rescheduled due to heavy rain, wind, snow, icy conditions, unsafe working conditions, equipment issues, or other circumstances outside of our control.

We will make reasonable efforts to communicate scheduling changes as soon as possible.

6. Customer Responsibilities

Customers are responsible for providing accurate information about the property and requested work.

Customers are also responsible for ensuring safe and reasonable access to the work area. This may include unlocking gates, moving vehicles, securing pets, clearing personal items, and notifying us of any hazards on the property.

Arrowsmith Arbor & Grounds is not responsible for delays, incomplete work, or additional costs caused by lack of access, hidden hazards, inaccurate information, or customer-requested changes.

7. Tree Services

Our tree services may include care, pruning, shaping, cleanup, and small tree removals (6" in diameter).

Arrowsmith Arbor & Grounds does not assess hazard trees, and does not remove trees larger than 6 inches in diameter at 12 inches from the base of the tree.

If a tree appears unsafe, unstable, protected, or beyond the scope of our services, we may recommend that the customer contact a TRAQ-certified tree risk assessor, or other appropriate professional.

8. Winter Services

Winter property care may include services such as snow clearing, ice management, storm cleanup, drainage clearing, and general property access support.

Due to the unpredictable nature of Vancouver Island's weather, winter services may vary depending on conditions, safety, timing, and accessibility.

Arrowsmith Arbor & Grounds cannot guarantee that surfaces will remain completely free of snow, ice, water, debris, or slippery conditions after service, especially during ongoing weather events.

9. Payments

Payment terms will be discussed before work begins unless otherwise agreed.

Customers are responsible for paying the agreed amount by the due date listed on the invoice or agreement.

Late payments may result in additional fees, delayed future services, or collection action where permitted by law.

10. Cancellations and Changes

Customers should provide as much notice as possible if they need to cancel or reschedule a service.

Customers will be subjected to a late fee for any cancellation within 48 hours of the scheduled work

If a customer cancels after materials have been purchased, equipment has been arranged, or work has already started, the customer may still be responsible for related costs.

Changes to the agreed scope of work may result in additional charges.

11. Safety and Right to Refuse Work

Safety is important to us. Arrowsmith Arbor & Grounds reserves the right to refuse, pause, or stop work if conditions are unsafe or outside the scope of our services.

This may include unsafe trees, unstable ground, extreme weather, poor access, aggressive animals, hazardous materials, or any other condition that may put people, property, or equipment at risk.

We have a zero-tolerance policy for aggressive behavior, abusive language, threats, harassment, or mistreatment of any kind. Services may be refused or cancelled if this policy is violated.

12. Limitation of Liability

Arrowsmith Arbor & Grounds takes reasonable care when providing services. However, we are not responsible for damage or issues caused by hidden, unknown, pre-existing, or improperly maintained property conditions.

This may include underground utilities, irrigation lines, buried objects, weak branches, unstable trees, poor drainage, damaged surfaces, or items left in the work area.

To the fullest extent permitted by law, Arrowsmith Arbor & Grounds is not liable for indirect, incidental, or consequential damages related to the use of this website or our services.
